TickTick – perfect task scheduler and notes keeper

Creating lists

TickTick allows you to create multiple task lists. This is a basic function that is available in all similar applications. I have created three lists: work tasks, life tasks (household) and just notes. This is the simplest usage scenario.

The second approach is a three-level system:

  • The first level – lists are considered as a set of projects. There can be an unlimited number of them, since archived projects are not counted as a limit for both the free and paid versions. The archives of tasks and lists are stored on TickTick servers and they can be reactivated as needed, and those that have been completed or are not current at the moment can be archived.
  • The second level – tasks in any list (central column). They are flexibly sorted by importance (priority), by dates, by name, filtered by labels.
  • The third level – check-lists within the task. It can be just shopping lists, checklists and so on. And you can perceive them as two-minute tasks in the ideology of GTD. Just remember to execute at once.

The third approach – each list is considered as a goal. While tasks from the list are not met, the goal remains up to date. The achieved goals are removed from the general list in the archive. The lists (and the tasks assigned to them) in TickTick are color-coded (the bar to the left of the task description), which for me, for example, is not very common after other to-do-managers. But this is a matter of habit, and color marking can be used to memorize, mnemonic associations. Or link the colors of labels to Gmail or Inbox.

Using widgets for quick access and a high level of usability

TickTick is a convenient widget for me as an Android device user, where you can see all your tasks, as well as mark their execution, add new ones and switch lists. That’s why I started using TickTick on Android.

In the application itself, you can copy tasks to the left and right, and the functions performed depend on the length of the svayp. A short shift to the right places the task in the archive, a long one displays the priority setting window. A short svipe to the left displays a window for setting reminders and dates, long – to move the task between your lists. Svayp from the left edge opens your lists.

Very conveniently made alerts in the blind. Shows the total number of tasks for today, the button for adding a new task and the slider for scrolling through the current tasks (without accessing the application).

In fact, the usability of both applications and services is thought through to the smallest detail.

It is possible to set the task to one of three priorities: important (red), medium (yellow), low (blue). In accordance with these priorities, the tasks in the lists are sorted. The picture shows the priority setting with a gesture (long svayp from left to right on the task).

Time and location reminders

TickTick allows you to create a reminder for the task, when I am, either I come or leave a place at a certain address. For example, to the task “Buy a loaf” I tie the store address. The minimum radius is 100 meters, and it can be increased by pulling the circle. This is a very useful feature, especially for everyday small tasks, which I recently began to use constantly.

For a given time (for example, at 10 am), you can assign a message with a list of all the tasks for today.

My wife breeds different plants. Sometimes, when she goes on a business trip, I get the task to water some of them every three days, and others – every five days. It is clear that his wife got into this habit and she always remembers when and what to pour, but for me it became a problem. The solution was to create a recurring task in TickTick. Additional convenience of this function is that there is no hard binding of the task to the deadline. It can be done a day earlier or later – there will not be anything wrong. For example, flowers can be poured and a day later, while from this point on the repetition of the task will be transferred to three days in advance.

Possibility to share with your wife your task lists for teamwork

Sometimes there is a need to transfer the task or puzzle someone else, such as a wife. To do this, I installed her TickTick application and opened my access to her task list. And now I can, for example, put my wife on the task of buying a loaf, with a reminder and high priority.

To share a sheet, you need to open it, go to the settings in the upper right corner and then click on “Sharing”. Please note that you can only share a separate task sheet, not a “All” or “Inbox” sheet.

Unfortunately, in the free version you can only share with your wife (that is, with one person).

Dictating tasks using Google Now voice commands

In 2014, the quality of voice recognition in Russian reached on Android at the level that it became really convenient to use. Now the phrase “OK Google” can be said on any home screen – both in ordinary Google Launcher, and in outsiders like Nova Launcher.

I say, “Okay, google. Create a note “Buy a loaf” »- and a note will be added to my TickTick tasks.

Integration with calendar applications

TickTick can both display tasks added to your Google Calendar and place them there.

To do this, copy a unique ICS-link from the settings of your TickTick-account (click on your avatar in the upper right corner) in Google Calendar settings (click on the gear in the upper right corner). In the Google Calendar settings, go to the calendar settings and click on the “View interesting calendars” link. Then click on the link “Add a calendar by URL” and in the opened form insert your TickTick-link.

Adding tasks by email

I use email a lot, and TickTick allows you to quickly create a task from a message by simply forwarding it to an email-bound email. You need to copy this email from the settings and add it to the address book in your email client.

Classify tasks using tags

You can enable the label function in the Labs configuration in the web version. By default, they are disabled in the Android application, but after they are included in the text of the task, you can insert hashtags like # home, #mark and so on. Tags become links to lists of tasks marked in this way.

Other TickTick Features

  • Different sorting parameters (in order, date, name, priority).
  • Add notes or comments to tasks.
  • Batch editing tasks.
  • Quick task search.

All of the above functions are implemented in a convenient interface – it will take only a few minutes to get used to it, start using it, stop forgetting everything and work more productively.

Differences free and Pro-version

The free version has a number of limitations:

  • Up to 19 task sheets, 99 tasks per sheet, 19 checklists inside tasks.
  • Share the sheet with only one person.
  • You can attach only one file (photo, audio or other files) per day.
  • Scheduling the agenda in the calendar.
  • History of changes.
  • Experimental functions.

These restrictions do not interfere with the management of everyday or simple business tasks.

Conclusion

The iOS version is now less functional than the version for Android, but the creators of the application are working on this and promise to finish it in a few months.

Thus, TickTick is the most functional solution at the moment, which can be used in everyday life and in business. Now you have all the tasks written and planned, and you need to perform them. But that is another story.
